How to use the meeting planner
The first row is your own time zone, and its hours form the header. Add cities or countries with the search box (up to 8), pick the date and your working hours, then look for a column where everyone’s cell is green. You can copy the chosen time as text or share the setup with participants using the link.
What do the colors mean?
A green cell means working hours (9 am to 6 pm by default), yellow means early morning or evening (7 to 9 am and 6 to 10 pm), and grey means night. A green bar at the bottom of a column marks hours that are working hours for everyone. A small “+1” or “−1” shows that it is a different day in that city.
How to choose a good time
If there are no common working hours, the planner shows the best compromises: times when nobody is in the middle of the night and as many people as possible are at work. It is worth rotating who gets the less convenient time. Watch out for clock changes too: the EU and the US do not switch on the same day, so for a few weeks the time difference differs from usual. Use the date picker to check the planned day in advance.
